Help.

For people who already work in Medoteca: where things are in the portal, answers to the questions we hear most, and where to turn when something does not work.

First steps

  • Sign in

    Your organisation’s administrator adds you to Medoteca, and you set up your account from the invitation you receive. If you forget your password, use the “Forgot password?” link on the sign-in page.

  • Take the tour

    The compass button at the top of the portal starts a guided tour of the main parts of the screen. You can run it again whenever you like.

  • Find your way

    The side menu holds the modules your role can open. The search box at the top finds pages across the whole portal.

  • Make it comfortable

    Your initials or photo at the top right open your account panel: theme, accent colour and language. The accessibility button adjusts contrast, text size, typeface, focus and motion.

Common questions

I cannot sign in. What now?
Use the “Forgot password?” link on the sign-in page and set a new password. If that does not help, your organisation’s administrator can check your account.
Why can’t I see a module or a menu item?
The portal shows only what you can use. Two things decide that: the plan your organisation has and the role you were given. For the role, ask your organisation’s administrator; for the plan, write to us.
How do I change the language, theme or text size?
Language, theme and accent colour are in the account panel, opened from the top right. Text size, typeface and contrast are under the accessibility button. These settings belong to your account, not to the browser.
How do I turn on two-step verification?
Open the account panel from the top right and go to the security page. Two-step verification is set up there.
I work in more than one organisation. How do I switch?
Use the organisation switcher at the top of the portal. You move between organisations without signing out, and you can choose which one opens by default.
How do I add a colleague or change what they can do?
Administrators do this in Configuration: invite the person, then give them a role. The role decides which modules and actions that person sees.
How do I choose which notifications I get?
Open notifications from the bell at the top of the portal. Its preferences let you choose what you are told about and through which channel.
Can I keep working when the internet goes down?
On a device where offline access is on, yes. Open the account panel from the top right and, under “This device”, turn on “Offline access” and choose a PIN. From then on the Today page keeps the day’s appointments on that device, with each client’s notes, visits and recommendations. Notes, visits, recommendations and bookings you add while the server cannot be reached are listed under “Changes not sent yet” and go out when the connection is back. “Install app” is in the same place, on browsers that offer it.

Ask the Assistant

The Assistant is the chat inside the portal. Ask in plain words: it looks things up in the modules your organisation has, answers with links to the right page, and changes your own settings when you ask it to. It sees only what your role lets you see, and a counter shows how many messages you have left this month.
